PAIA manual
This is the manual the Promotion of Access to Information Act requires every private body to publish. It says who we are, what information we hold, where it goes, and how to ask for it.
Who we are
Better Today [COMPANY DETAILS]. Registration number [REG NUMBER]. Physical address [PHYSICAL ADDRESS]. Address for service [SERVICE ADDRESS].
These details are required by law and are shown here as placeholders until they are registered. If you need them before then, email us and we will give you what we have.
The Information Officer
Under POPIA the Information Officer of a private body is the head of that body, so it is the person who runs Better Today. You can reach them at info@bettertoday.co.za. Email is the only channel, and it is read by a person.
Requests under this manual go to that address. Put "PAIA request" in the subject line so it is not read as an ordinary support email.
The guide the Regulator publishes
The Information Regulator publishes a guide, in each official language, on how to use the Act. You can ask the Regulator for it at inforegulator.org.za, or write to the Information Regulator of South Africa.
What information we hold
About the people who buy a plan: an email address, the answers to the sleep quiz, the plan written from them, the order and payment reference, and the emails we have sent. The quiz answers include health information, which POPIA treats as special personal information: how you sleep, medication you take, health conditions you tell us about, and how you have been feeling.
About people who answer the three free questions without buying: those three answers, and an email address only if they went on to checkout.
About the business itself: the ordinary records a business keeps. Financial and tax records, records of what we paid our suppliers, and the research and knowledge base the plans are written from.
Where information goes outside South Africa
Yes, some of it leaves the country, and this is the part the Act specifically asks us to say plainly.
Your answers are stored on servers in Europe, operated by our hosting provider on our behalf. To write the words of your plan, your answers are sent to our writing tool, which is operated by Anthropic in the United States under a data processing agreement. That is the only place your answers go outside this business.
Your answers are never sold, and they are never sent to advertising platforms.
How to make a request
Email info@bettertoday.co.za with "PAIA request" in the subject line. Tell us which information you want, enough detail for us to find it, the email address you used, and how you would like to receive it.
The Act has a prescribed form for requests to a private body, and a fee may apply to a request made by someone other than the person the information is about. If a form or a fee applies to your request we will tell you what it is before we do anything, and we will not charge you to see your own information.
We will answer within 30 days, which is what the Act allows, and usually much sooner. If we need longer, we will tell you why. If we refuse a request, we will tell you which part of the Act we are relying on and how to take it further.
Asking us to correct or delete something
You can ask us to correct information that is wrong, or to delete what we hold. Email info@bettertoday.co.za and say which. We delete it and confirm by email, usually within a few days. Payment records are kept for as long as tax and company law requires, and we will say so if that is what is holding something back.
Deleting your answers cannot undo the writing of a plan you have already received, and your permanent plan link stops working once the plan behind it is gone.
If you are not happy with our answer
You can complain to the Information Regulator of South Africa at inforegulator.org.za, or apply to a court. You do not have to go through us first.
